Selecting OEM-equivalent parts: a procurement checklist

“OEM-equivalent” is doing a lot of work in most quotations. It can mean a part made to the original drawing on a certified process, or it can mean something that fits. The difference shows up several thousand operating hours later, so it is worth settling at the enquiry stage.

Five questions worth asking

  1. Which drawing revision is the part made to? Machines of the same model built years apart are not always interchangeable.
  2. What material specification and heat treatment? For hot-gas-path parts this is the answer that matters most.
  3. What certification comes with it? Material certificates, process records and dimensional reports should be named in the quotation, not promised.
  4. What is the real lead time? A castings lead time is not a stock lead time; ask which one you are being given.
  5. What is the repair alternative? For many components a scoped repair is faster and cheaper than replacement, and the two should be priced together.

What to send

Nameplate photograph, part number, quantity, the machine’s accumulated operating hours and the required delivery date. With those five items an engineer can normally confirm the part and quote it without a further exchange.

A note on lead time

Plan parts against the outage, not against the failure. The items that cause the longest delays are rarely the expensive ones — they are the small, machine-specific components nobody thought to stock.
